Live Hospitality Group Performance vs Month-End Reporting: Which Gives Operators More Control?

Live hospitality group performance vs month-end reporting: what each tells operators, where each falls short, and how to run both from the same numbers.

Group performance view comparing trading across several hospitality venues

Live hospitality group performance gives operators more control during the month, because it shows each venue's takings, wages and variances while there is still time to change the roster, follow up a variance or move stock. Month-end reporting remains the accurate, audited record for the accounts and the board. The groups with the most control run both from the same reconciled daily numbers, so the month-end report confirms what managers already saw.

Both sit inside connected hospitality financial operations. The difference is timing: one tells you what is happening this week, the other tells you exactly what happened last month.

What each one is#

Live group performance is a view of each venue's trading, refreshed from the reconciled daily close. It covers revenue by department, gaming, wagering, wages against revenue, variances and comparisons with budget and the same week last year. Venue managers check it the morning after trade; group leaders check it across venues.

Month-end reporting is the profit and loss, balance sheet and management accounts finance produces after the month closes. It includes accruals, stock adjustments, depreciation, supplier invoices and other entries that daily data does not capture. It goes to owners, boards and auditors.

Where month-end reporting falls short for operators#

A month-end report tells a venue manager that wages ran over budget in the second week. By then four more weeks of rosters have been written. It tells the group that one venue's bistro margin slipped, but not which nights or why.

Month-end is also slow to surface cash issues. A till that ran short three weeks ago is hard to investigate once shifts have turned over and staff cannot remember the night. At Frankston RSL, the weekly venue report used to land late on Monday afternoon and sometimes Tuesday. It now arrives around 11 a.m. or midday Monday, and the club says that earlier visibility moved its decisions from reactive to proactive (read the story).

City Golf Club described the same problem from the other side. Before connecting its systems, management decisions were often based on information that was already a day or two old (read more).

What live performance adds#

Live performance gives operators answers to questions that need answering this week:

  • Venue revenue comparison. Which venues are trading ahead of the same week last year, and which are behind?
  • Labour against revenue. Is wage cost in line with takings for each venue and department?
  • Variances. Which tills, safes or clearances did not balance last night, and who is following them up?
  • Budget tracking. Is the month on track before it ends, not after?

wirely.ai reporting compares current performance with the same week last year, smooths gaming data across time periods to remove daily noise, and tracks actuals against budget in one place (product update). Scott Harrington, Group Operations at Reilly Group, says he opens his custom End of Day and End of Week report first thing every day, after previously spending several hours pulling it together by hand.

Duxton Pubs, a group of more than 25 pubs in South Australia, reports same-day financial visibility across all its venues (read the story).

Where month-end still matters#

Live data does not replace the month-end close. Stock counts, accruals for invoices not yet received, depreciation and intercompany entries only exist after finance does that work. Boards need the audited number, and the accounting platform remains the record for tax and statutory reporting.

What changes is the role of month-end. When the daily numbers are reconciled each day and journals posted from them, month-end becomes confirmation and adjustment. Finance is no longer finding out for the first time what each venue took.

How to run both from the same numbers#

  1. Reconcile every venue daily. Live performance is only as reliable as the daily close behind it. See how to build a faster daily close for a multi-venue hospitality group.
  2. Post journals from the reconciled day. The same figures that feed the live view should become journals in Xero, MYOB, NetSuite or Sage.
  3. Use one chart of accounts mapping across the group. Venue comparisons only work when every venue codes revenue and wages the same way.
  4. Give each role its own view. Venue managers need their venue by department. Group leaders need venues side by side. Boards need the summary and the month-end result.
  5. Reconcile live to month-end. At month end, finance compares the sum of daily figures with the ledger. The differences should be the known adjustments and nothing else.

Hospitality group forecasting with live data#

Forecasts built on month-end figures are already out of date when they are written. A forecast that refreshes from the reconciled daily numbers can show whether the month will land on budget while there is still time to act. wirely.ai supports forecasting and budgets alongside actuals, with longer forecasting windows and labour tracked against revenue. How often to refresh depends on the decision the forecast supports; how often should hospitality forecasts be refreshed works through it.

Common mistakes#

  • Building a live dashboard on unreconciled data. If last night's tills have not balanced, live figures will change after finance corrects them, and managers stop trusting the screen.
  • Different numbers in each report. When the live view and the month-end report come from separate sources, every meeting starts with a debate about which is right.
  • Showing everyone everything. A venue manager who has to scroll past group totals to find their own wage percentage will stop opening the report.
  • Dropping month-end review. Live data shows trading. It does not show accrued costs, and margins can look better than they are until month-end catches up.

Frequently asked questions#

Is live hospitality group performance accurate enough to act on?#

Yes, when it is built from reconciled daily data. If every venue closes the day against POS, gaming and banking, the live view reflects real takings. It will not include month-end adjustments such as accruals and stock, so treat margin figures as provisional until month-end.

Does live reporting replace month-end reporting?#

No. Month-end reporting is still needed for the accounts, the board and audit. Live reporting covers the weeks in between so operators can act before month-end.

What is the most useful live measure for a hospitality group?#

Wage cost against revenue by venue is the measure most groups act on first, because the roster can change next week. Venue revenue comparison against the same week last year comes close behind.

How do we compare venue revenue fairly across a group?#

Use one chart of accounts mapping, compare each venue with its own prior year and budget as well as with other venues, and smooth volatile lines like gaming over a period before drawing conclusions.

Who should see live group performance?#

Venue managers should see their own venue. Operations and group leaders should see all venues side by side. Owners and boards usually need a summary plus the month-end result. See how wirely.ai supports business owners and financial controllers.
